Service & Logistics Coordinator
Job Overview:
We are looking for a dependable and organized Service & Logistics Coordinator to support our service department, warehouse operations, and preventive maintenance programs. This role will work closely with the Service Manager to coordinate jobs, manage parts and logistics, and ensure customers stay up to date on service and maintenance.
This is a hands-on position that requires strong organization, communication, and the ability to work both in the office and in the shop.
Responsibilities:
- Assist the Service Manager with scheduling and lining out jobs with customers
- Maintain and update the job board to keep all work organized and on track
- Manage and maintain the Preventive Maintenance (PM) tracker
- Contact customers to schedule PM services and follow up on upcoming maintenance
- Call and collect payments related to PM services and completed work
- Track and manage parts on order vs. parts received in the system
- Follow up with vendors to check status and lead times on parts orders
- Communicate updates to customers regarding job status and parts availability
Warehouse & Logistics Duties:
- Check in incoming shipments and verify accuracy of parts received
- Handle shipping and packaging of outgoing parts and equipment
- Tag and organize oils, parts, and materials by job
- Keep all parts organized within the system (parts on order, parts received, staged jobs)
- Maintain a clean and organized warehouse and staging area
- Operate a forklift to move materials and equipment as needed
Qualifications:
- Experience in service coordination, logistics, warehouse, or industrial environment preferred
- Strong organizational and multitasking skills
- Comfortable communicating with customers via phone and email
- Basic computer skills (ERP systems, tracking, spreadsheets)
- Ability to work in both office and shop environments
- Forklift experience required (or willingness to be trained)
